WORLD WIDE WEB FORMATTING GUIDELINES AND INSTRUCTIONS

If possible, please call Publications and Graphics BEFORE you begin
preparing your document(s) for the web, so the best format (pdf, html) for
displaying your document(s) on the web can be determined.
- Fill out the
CCS Publications Request Form, COMPLETELY (the newest revision--will
have check boxes for internet/intranet).
- If the document
you are preparing will be converted to an html document, prepare all
documents using any Microsoft product (Word, Excel, etc.). If you are
not using Microsoft, meditate on it for a while. (Documents converted
from Word Perfect to MS Word do funny things when further converted
to html (your text will sometimes not have any line breaks). It is highly
learnable and at the very least gives you something to really curse
about during the daylight hours. (You're on your own once the sun sets.)
- Do not use indents
or tabs anywhere in the document. To indent
a list or make a bullet list use the toolbar button in Word
for bulleted lists. This is the only way that a bulleted
list or an indented list will convert for a web page. Tabs are completely
ignored on web pages. There is no HTML code for tabs at this time.
- To make a numbered
list, use the toolbar button in Word for numbered lists.
This is the only way that a numbered list will convert
for a web page. (Try to limit outline type formats as much as possible,
it requires alot of finetuning once converted to HTML for the web.)
- To make the manual
easier to read on the internet/intranet, it would be best to have each
section of a manual as a separate document (look at the Personnel manuals
and the BOT manual on the intranet which were done this way), then links
can be made from the table of contents to that document. Otherwise,
users will have to scroll through 50+ pages to find the section they
want, and print out the whole document rather than just the section
they want.
- Table of Contents
must be typed as, or converted to, a MS Word table, (the
page numbers should be removed). (The Table of Contents must be a separate
.doc, the Master document/Sub document format cannot be used
to generate a table of contents for a web page.)
- Any sections
consisting of more than one column must be typed as, or converted to,
a Word table. (Anything that looks like the following must be converted
to a table.) Tabs or spaces CANNOT be used to line up text.

- Use Times Roman
or Ariel fonts.
- Use font size 8-10
for text.
- Use font size 12
- bold for main headings.
- Use font size 10
- bold for subheadings.
- Do not have any
lines, boxes, artwork, shading etc. in your document.
- Each file name
needs to end with '.doc'.
When the document/manual
is finished, forward a hard copy along with the completed CCS
Publications Request Form to Publications and Graphics, MS-1015.
The document will be reviewed for format and overall consistency. Changes
will be noted on the hard copy and returned to you so you can input the
changes before sending the final hard copy and emailing
a final copy back to Publications and Graphics.
Publications and
Graphics has found that editing large manuals electronically presents
too many opportunities for error and confusion. In real life, we edit
for grammar, punctuation, consistency, etc. We also may have questions
about content that are more accurately addressed on hard copy. For now,
it is faster and more efficient for you to see the editing remarks and
then make changes on your own copy. This is also a double check for accuracy.
(It is a real bummer when someone edits your copy and in the process creates
inaccuracies.) So, send Publications and Graphics a hard copy, we'll edit
it and return it to you, you input (or not input) our suggested changes,
and send your final hard copy and e-mail a copy along with
the completed CCS Publications
Request Form to Publications and Graphics.
