| The
Communications and Development Office offers assistance with news and information,
publications/graphics, fund raising, scholarships, photography and many
other services. This guide is intended to help you access any of these services. Communication - in whatever shape or form - is a big part of what each of us does daily. The level of support CCS earns, whether from students, businesses and industries, potential donors or the Legislature, hinges in part on how well we communicate what we do here. The sole purpose of the Communications and Development Office is to offer services to help you communicate what you do effectively, affordably and with relative ease. We don't have room to cover every possible scenario in this guide, but we tried to cover the usual puzzlers. If you can't find the information you need, call us at 434-5107. Getting Information in On the Inside Send your information in writing to the CCS News Bureau, MS 1015, or to mharnetiaux@ccs.spokane.edu. The usual deadline is 4 p.m. Tuesday. If you're really under the gun for time, call 434-5149. Letting Local Media Know About an Upcoming Event To ensure accurate, timely coverage, send information regarding an event to the CCS News Bureau, MS 1015, or to mharnetiaux@ccs.spokane.edu. The News Bureau will put the information in a useful format and distribute it to appropriate media and other contacts. If you have questions, call 434-5149. Try to allow at least two weeks lead time. Responding to a Media Inquiry If you are comfortable answering questions immediately, great. Afterward, please let the News Bureau know you were contacted. If you aren't comfortable talking with the media, or can't return a call promptly, call the News Bureau, 434-5149, and someone will respond to the call. The News Bureau is happy to offer you tips on how to respond to media inquiries. Running a Public Service Announcement Submit the information you would like to have in a PSA to the News Bureau, MS 1015, or to mharnetiaux@ccs.spokane.edu at least three to four weeks in advance of when you want the PSA to begin running. Letting Someone Know About a Good Story Idea The News Bureau always is looking for good stories to pass along to the media. If you have an idea, call 434-5149. The News Bureau knows which editors and reporters would be most interested in particular story ideas. Running an Ad in a Newspaper To run a classified ad, send your copy and a Purchase Requisition Form to the director of communications and development, MS 1005. The director will approve it, then forward it to the Purchasing Office, MS 1007. To run a display ad, follow the same procedures but allow at least one or two weeks for design time. Requesting a New Publication District Publications/Graphics offers a wide range of professional, timely and affordable graphics services. When you have a graphics need, the best way to get the ball rolling is to meet with us to plan your publication. We can provide you with suggestions regarding copy and design. If that isn't possible or practical, call us at 434-5142. In any case, please keep the following tips in mind as you plan your projects: -- Make sure the copy you submit is accurate and final. Only "life or death" changes should be made at the proofing stage. -- Allow at least two to three weeks for your request to be designed and printed. -- Don't waste time designing the publication or form on your computer. Instead, simply send a thumbnail sketch. -- All material intended for distribution to the general public, or something the general public will see, should be done by Publications/Graphics. For information, call 434-5142. Requesting a Program Brochure Call 434-5148 or 434-5142. Producing Other Brochures Supply complete and accurate brochure copy on a 3.5-inch high-density disk in Microsoft Word, and send with a Publication Request Form to Publications/Graphics, MS 1015. Reordering a Publication Always supply a copy of the original publication noting the changes. If there are substantial copy changes, send the information on a 3.5-inch high-density disk in Microsoft Word. If the changes are minor, simply indicate the changes on the original brochure. Include a Publication Request Form and send to Publications/Graphics, MS 1015. Requesting Business Cards, Letterhead and Envelopes Supply a Publication Request Form to Publications/Graphics, MS 1015. These are available through department secretaries or online. Get a sample of whatever you want done and note the information you would like printed. Requesting a New Form Obtain a Form Request Form through your department secretary, or through Central Receiving. If the amount of copy is substantial, send it on a 3.5-inch high-density disk in Microsoft Word. Reordering a Form Follow the instructions on the Form Request Form. Supply a copy of the original form noting the changes. If there are substantial copy changes, send the information on a 3.5-inch high-density disk in Microsoft Word. If the changes are minor, simply indicate the changes on the original brochure and send it. Sending Out a Publication Produced by You or Another Organization All publications intended for off-campus distribution should be generated by CCS Publications/Graphics. If it is absolutely necessary that you generate your own publication, please send the copy and the final design to Publication/Graphics for editing. If another organization is generating the piece for you, please send a copy to Publications/Graphics to make sure the basic design standards are being adhered to, including logo use and appropriate legal statements. Obtaining a Program Ad in the Combined Class Schedule Submit your request to the appropriate vice president of instruction or executive vice president. Publications/Graphics contacts them for ad topics each quarter. Having a Photo Taken or Obtaining Prints or Slides of Existing Photos Call 434-5148. Also, try to plan ahead if you need outside photos so they can be taken in good weather. Getting Copies of the CCS Viewbook, Annual Reports or Other CCS Publications Call 434-5107. Producing a Video Call 434-5107 for assistance in developing concepts, scriptwriting or production. Finding Scholarship Money for a Student Have the student contact the appropriate Financial Aid Office, which will forward requests to the CCS Foundation. Making a Gift to CCS Call the CCS Foundation, 434-5123. Faculty and staff can make an impact by contributing to an area of their choice. Payroll deduction is available. The foundation also offers estate-planning services and has volunteer tax attorneys, CPAs and trust officers available to work with you and the foundation to maximize your tax advantages. Foundation volunteers and staff procure gifts and resources from the private sector to benefit CCS students and programs. Accepting a Gift of Equipment Notify the CCS Foundation at 434-5123. You will be sent paperwork necessary for tax and recognition purposes. Accessing Funds from the CCS Foundation Call the foundation at 434-5123.
