| Effective May 1, 2004, Community Colleges of Spokane employees using
direct deposit will receive their pay stub information via a secure
site on the CCS Internet. Display and retention of paycheck information
online will replace the printing, distribution and mailing of earnings
statements.
On this site, you'll be able to view your current payroll information,
prior payroll information, current and previous year-to-date balances,
and your leave balances. Although this information can be viewed
online several days before payday, your net pay is not actually
deposited to your bank account until the actual payday date.
For each pay period, an e-mail message will alert employees that
pay stub details are now available via the CCS Internet. You will
need a SID and PIN number, both issued by the CCS Payroll Office,
to access this information.
These online tools improve efficiency and provide convenient access
to information and transactions. More and more of our colleges'
business transactions are online as well, improving efficiency and
saving money.
Who authorized this change?
The Washington State Office of Financial Management (OFM) recently
granted state agencies the authority to provide employee payroll
information electronically. At CCS, the change was recommended by
CCS Chief Financial Officer Linda McDermott, following extensive
research and review and input from administrators, faculty and staff.
It is a cost-reduction measure intended to improve efficiency and
effectiveness.
Will this website provide the same details as the paper earning
statements do?
Yes, you can get the exact same information online, and you can
print the data from the website for your files. For your convenience,
your payroll records for the full year and several past years are
available online in a secure account only you can access.
When will paycheck information be posted on the Web?
Normally, payroll is calculated approximately four business days
before payday. This information is posted on the Web the night after
payroll is calculated.
Do I have to have an e-mail account?
No. To reach your records, you need access to a personal computer
with a Web browser and an internet connection, plus a CCS SID and
PIN number. Having an e-mail account allows you to receive the reminders
that new paycheck data is posted, but this is not required. You
can check your pay records at any time 24 hours a day, seven days
a week.
Do I need to fill out a paper form to get a CCS SID and PIN number?
No. SID and PIN numbers were assigned and mailed to current CCS
employees in 2002, and they are now automatically assigned to all
new employees. In anticipation of this change, all SID and PIN numbers
were reprinted and mailed with paychecks in March and April 2004.
The SID number is a permanent number that cannot be changed; employees
can change their PIN number any time and as many times as they like.
Payroll receives an automatic, confidential notification whenever
employee PIN numbers are changed.
I've forgotten my SID and PIN numbers. What do I do?

Is this SID and PIN the same as the ones I use with Instructor
Brief Case?
Yes. This combination of your SID and PIN works with most CCS administrative
computer applications. In the past, CCS issued instructors a new
PIN each quarter. Currently, the PIN will be issued one time only
- not once per quarter. If you wish to change your PIN, you may
do so through Instructor Briefcase or through the Employee Earnings
and Leave History site on the CCS Internet.
How can I get a copy of my paycheck information if I do not have
a personal computer at my work location?
Employee earnings information is available from any computer with
Internet access -- either at home or from any other location. All
CCS departments will strive to provide safe, secure computer access
and training to all employees who do not have access to a computer;
however, there may be a transition period before this is be fully
operational. Please contact your supervisor for more information.
In addition, please remember that direct deposit is not mandatory.
You can have your paycheck mailed to your home address.
I've never used the Web. Can someone show me how to find my paycheck
information?
Yes. Our campuses and operating units

If I call the Payroll Office on payday, can someone tell me the
amount deposited into my bank account?
No. Out of concern for your confidentiality, Payroll staff will
not reveal your net pay over the telephone. They will, however,
assist you in accessing your payroll information online.
How exactly do I locate my paycheck information on the Web?
You will need to use a computer with
Internet access. Once on the Internet, type in http://www.ccs.spokane.edu/busoff/EmpComp.htm
This will take you to the CCS Employee Compensation information
page. (Be sure to add this to your "Favorites" list!)
Locate the section "Payroll Office," and click on the
line "Employee Earnings and Leave History."
Enter your SID and PIN number and click on the bar "View My
Earnings History." This will take you to up-to-date information
about:
- Your most recent paycheck
- Employee deductions and reductions
- Employer contributions
- Year-to-date earnings history
- Sick leave and vacation balances.
You can also change your PIN number on this page.
Do these changes impact me since I receive my paycheck by mail?
In a way. If you have a computer with Internet access, you can
get up-to-date information about your current paycheck several days
before it is issued and mailed to you.
CCS will continue mailing paychecks to employees who do not elect
to use out direct deposit service.
I thought direct deposit service was only available to full-time
employees.
Not any more. Effective April 2004, direct deposit will be available
to ALL CCS employees, including part-time hourly, adjunct
faculty and work-study employees. To apply, complete a Direct Deposit
Authorization Form and return it to the CCS Payroll office, MS 1006.

What other agencies have gone paperless for their paycheck information?
Microsoft, Boeing, University of Idaho and Washington State University
are three examples in our region.
